Booking Conditions

These Booking Conditions apply to travel services and trips booked directly with ArqTur.

They are intended to be straightforward and easy to understand.

Where Norwegian package-travel legislation applies, your statutory rights under that legislation apply in addition to these conditions.

1. Who you are booking with

2. Your booking

A booking becomes binding when:

  1. ArqTur has confirmed the booking in writing; and
  2. Any required deposit or payment has been made.

Your booking confirmation will set out the important details of your trip, including:

  • Travel dates
  • Itinerary
  • Accommodation
  • Activities and services included
  • Price
  • Payment schedule
  • Any specific requirements agreed with you
  • Cancellation conditions

The booking confirmation forms part of your agreement with ArqTur.

3. Prices and payment

The price and payment schedule will be stated in your quotation or booking confirmation.

Unless otherwise stated:

  • Prices are in Norwegian kroner (NOK)
  • Any applicable taxes and charges will be identified
  • Additional services requested after booking may incur additional charges

For package travel, the price and any permitted price changes will be handled in accordance with Norwegian package-travel legislation.

4. Cancellation by you

You may cancel your booking before the trip begins.

Any applicable cancellation charge will be stated in your booking confirmation.

Where a standard cancellation charge applies, it will take account of the time remaining before departure and costs that ArqTur cannot recover.

If no specific cancellation charge has been agreed, any cancellation charge for a package travel booking will be determined in accordance with applicable Norwegian law.

5. Cancellation because of exceptional circumstances

For package travel, you may have the right to cancel without paying a cancellation fee where unavoidable and extraordinary circumstances at the destination or nearby significantly affect the performance of the trip or transport to the destination.

Where this statutory right applies, payments will be refunded in accordance with Norwegian law.

6. Cancellation by ArqTur

In exceptional circumstances, ArqTur may need to cancel a trip.

This may include:

  • Insufficient bookings where a minimum group size has been stated
  • Unavoidable and extraordinary circumstances
  • Circumstances making the trip impossible or unsafe to operate

If ArqTur cancels a package travel booking in circumstances where Norwegian law requires a refund, the relevant payments will be refunded in accordance with the law.

7. Changes to your trip

We may occasionally need to make changes to a trip because of:

  • Weather
  • Road or route conditions
  • Transport disruption
  • Supplier changes
  • Safety considerations
  • Operational circumstances

We will make reasonable efforts to keep the agreed itinerary and standard of the trip.

Minor changes may be made where necessary.

If a significant change to a package travel arrangement is required before departure, you will have the rights provided by Norwegian package-travel law.

8. Weather and outdoor activities

Many ArqTur experiences take place outdoors.

Weather and natural conditions can change quickly in Norway.

For safety reasons, ArqTur may alter a route, activity, timing or itinerary where conditions make the planned arrangement unsuitable or unsafe.

We will endeavour to provide a suitable alternative where reasonably possible.

9. Cycling, hiking and adventure activities

Some ArqTur trips involve cycling, hiking, mountain activities or other outdoor experiences.

You are responsible for ensuring that you have the appropriate fitness, experience, equipment and clothing for the trip.

Before booking, you should carefully consider the stated difficulty and requirements of the activity.

You must follow reasonable instructions from ArqTur guides and activity providers.

Nothing in these conditions excludes ArqTur's liability where such exclusion is not permitted by law.

10. Travel documents and insurance

You are responsible for having:

  • A valid passport or other required travel document
  • Any required visa
  • Appropriate travel insurance
  • Appropriate personal insurance for outdoor activities where relevant

We strongly recommend comprehensive travel insurance covering cancellation, medical expenses, outdoor activities and, where appropriate, rescue and repatriation.

ArqTur is not responsible for losses arising from your failure to obtain documents or insurance that you are responsible for obtaining.

11. Health and special requirements

You should tell us about any important requirements, restrictions or circumstances that may affect your ability to participate in the trip before booking.

We will make reasonable efforts to accommodate requirements that we have agreed to.

12. If something goes wrong during your trip

If you experience a problem with a service included in your booking, please tell ArqTur or our local representative as soon as reasonably possible.

This gives us the opportunity to correct the problem while you are travelling.

For package travel, Norwegian law gives travellers rights relating to assistance, correction of problems, alternative arrangements, price reductions and, where applicable, compensation.

13. Our responsibility

Where ArqTur is the organiser of a package travel arrangement, ArqTur is responsible for the proper performance of the travel services included in the package, subject to the rights and limitations provided by Norwegian law.

Where ArqTur is acting only as an intermediary for another travel service provider, the relevant supplier may be responsible for the performance of that individual service.

Your booking confirmation will identify the relevant arrangement where necessary.

14. Assistance during your trip

Where required by applicable package-travel legislation, ArqTur will provide reasonable assistance to a traveller who is experiencing difficulties during a package trip.

15. Complaints

If you are unhappy with any part of your trip, please contact us as soon as possible while the issue is occurring.

We will make reasonable efforts to resolve the problem.

If the issue cannot be resolved during the trip, please send your complaint to:

We will review the complaint and respond as soon as reasonably practicable.

Nothing in this section limits any statutory complaint or dispute-resolution rights you may have.

16. Package Travel Act and Travel Guarantee

Where ArqTur acts as an organiser of package travel, the Norwegian Package Travel Act (Pakkereiseloven) applies.

ArqTur will comply with applicable requirements regarding registration, travel guarantees and traveller protection.

ArqTur will not accept bookings or payments for package travel where a statutory travel guarantee is required until the relevant legal requirements have been fulfilled.

Where ArqTur acts only as an intermediary or provides individual travel services that are not subject to the package-travel guarantee requirement, the applicable terms will be explained before booking.

17. Privacy

Personal information connected with enquiries and bookings is handled in accordance with our Privacy Policy.

18. Governing law

These Booking Conditions are governed by Norwegian law.

Where mandatory consumer protection legislation gives you additional rights, those rights remain unaffected.
